Getting Started

  • You can schedule a free 15 minute phone/video consultation here.

  • A consultation provides you an opportunity to ask questions and gather information to determine if you think therapy/a specific provider will be a good fit for you. If you wish to proceed with becoming established as a client, your biopsychosocial assessment can be scheduled at the end of your consultation. If you’d like additional time to reflect on your decision to initiate therapy with one of our providers, you can take your time and reach back out to our office via e-mail or phone when you’re ready to schedule.

  • After you have scheduled your initial assessment with your provider, you will be sent an e-mail with a link to a secure client portal. You should check your spam and contact the office via phone or email if you have not received a link within 24 hours of scheduling your appointment. Your client portal will contain various new client documents that will need to be completed at least 24 hours prior to your appointment to provide your clinician time to review your documents prior to your first appointment. You will not be able to be seen for your initial appointment if your new client paperwork is not complete prior to your appointment.

Billing & Insurance

  • Kaela Stephens and Mary Flemming are in-network with Cigna/Evernorth Behavioral Health. We do not accept or bill any other insurance providers/plans.

    For all other insurance providers/plans, you will be required to pay the full cost of services at the time of your visit. If you would like to submit claims to your insurance provider for potential reimbursement of your out of network services, we will provide you a monthly superbill (itemized receipt with diagnosis, billable codes, etc.) that you can submit to your insurance for direct reimbursement of any out of network covered expenses. We strongly recommend you contact your insurance provider prior to beginning treatment to discuss your out of network benefits.

  • A superbill is a detailed document that allows you to submit your paid mental health expenses to your insurance provider to obtain any out of network reimbursement that they allow. Once your insurance provider accepts your claim, they will send you a check directly for any allowable out of network amount. Your superbill will contain confidential information including your contact information, the practice’s information, any diagnoses, dates and services provided, along with cost of services provided. Superbills are autogenerated monthly and will be uploaded to your client portal on the 5th of each month. It is the client’s responsibility to inform their clinician that they would like to receive superbills for services when beginning treatment.

  • No, we do not accept Single Case Agreements.

    1. What is my coverage for out of network mental health/behavioral health services?

    2. Do I have an out of network deductible that will need to be met first before you reimburse for out of network services? If so, what is my deductible and how close am I to meeting it? Also, when does my deductible reset (calendar or fiscal year)?

    3. Is there a limit to how many sessions you will reimburse for?

    4. Where do I submit my superbill to for reimbursement?

  • Payment is due the day of your appointment. We utilize Stripe integrated through our Electronic Health Record (EHR) system Simple Practice to automatically collect payment overnight on the evening after your appointment.

  • We accept cash, check, debit/credit, or HSA cards. You are required to maintain a card on file in your client portal for charging balances, late cancel, and no show fees.

  • Rates are subject to change. Advanced notice will be provided prior to any changes in fees or rates.

  • Reduced rates are available on a limited basis.

Telehealth

  • Yes, we offer telehealth options for consultations, assessments, and therapy services via a secure HIPAA-compliant video platform.

  • We utilize Sessions Health as our primary HIPAA-compliant video platform for telehealth. As a backup option if having technology issues, we utilize Sessions via Psychology Today.

  • You will be sent a reminder email/text 48 hours prior to your appointment with the link to our Sessions Health video platform, however, the link is not a different link each session.

  • You have to be located in California during the time of your telehealth appointment due to licensing restrictions for your providers.
